Engagement Administrator
The Company
Our client, a large professional services firm is looking to hire an Engagement Administrator to join their large office in Dublin. The purpose of this role is to assist client facing staff and partners with the range of QRM and compliance obligations on their portfolios and to support the engagement teams with the financial administration of their portfolios.
The Role
-Client acceptance procedure: gather appropriate documentation and other materials. This will include client verification of identity in accordance with our anti-money laundering policy. Review data. Complete relevant forms for executive review and/or partner sign off.

-Independence checks: coordinate responses to periodic enquiries to confirm independence of team on given account (both domestically and internationally as required).

-Engagement set up: gather information and complete forms for executive review and/or partner sign off, handle periodic roll forward of job codes, setting up new job codes (e.g. annual compliance and ad-hoc advice, special projects, etc.).

-Engagement letters: preparation for executive review and/or partner sign off. This should include details of the billing arrangements. Assist with renewals and amendments of the letters.

-Coordinate with executive/partner and, if necessary, QRM to resolve matters relating to all of the above.

-Billing: assist in preparation of invoices in accordance with the billing arrangements outlined in the engagement letter, and download WIP details to support billings.

-Debtors: assist credit control with any queries relating to billings and the terms stated in the engagement letter. Preparing cash and fee estimates monthly and ensuring that the cash and fee targets are met

-Encourage compliance with policies and best practice. Make sure significant issues are brought to the attention of the executives/partners they support.

-Organising manager meetings at a regular interval, keeping the minutes and following up the action steps ensuring optimal usage of staff resources, monitoring time sheets, preparing utilisation reports

-Meeting with managers regarding their portfolios and assisting them in their Working Capital management

-Producing and circulating reports on request

Skills Required
-2 + years experience in a professional atmosphere in a financial/business capacity.

-Possess good communication skills, both written and oral.

-Comfortable working with numbers, basic analysis and attention to detail.

-IT literate, especially with Excel and Word.
