Property services business seeking to employ an office PA/Receptionist/Administrator.


REQUIREMENTS & EXPERIENCE:

  1. Minimum 2 years’ experience as a corporate administrator/receptionist or working within a customer service/personal assistant role in a professional environment. Relevant experience of a busy front of house reception area
  2. Must be computer literate and MS Office proficient i.e. Word, Excel & PowerPoint. Minimum 40 words per minute typing skills.
  3. Certificates in Pitman Training would be an advantage
  4. Confident & proactive in dealing with clients, executives and staff.
  5. Possess excellent attention to detail
  6. Must work well on own initiative and in team environment
  7. Flexible Multi-tasking must come easy
  8. Possess excellent attention to detail
  9. Exceptional professional etiquette and personal grooming
  10. Excellent telephone manner & interpersonal skills
  11. Ability to work efficiently and remain calm under pressure

DUTIES & RESPONSIBILITIES:

  1. Busy role managing the company's head office and all associated administrative aspects of the running of a busy office
  2. Serving as receptionist (answering and directing incoming calls, greeting, directing and assisting Clients and visitors, updating internal telephone list, preparing tea/coffee for clients/visitors and executives)
  3. Management of Board Room and all internal meetings
  4. Management of Executive's calendar for both internal and external meetings
  5. Responsible for incoming and outgoing post, faxes and company emails, providing backup administrative support to Developments, Finance & Investment Teams such as copying, scanning, printing, binding, faxing, shredding, research, etc
  6. Responsible for ordering and managing supplies & managing the administration of IT Service Provider & IT support team
  7. Help monitor staff needs and assist staff with problem solving, research and organisation
  8. Coordinating the purchase, repair and maintenance of office equipment
  9. Coordinating with building maintenance and service providers
  10. Responsible for monitoring renewal of annual contracts such as telecommunications, office equipment and IT in conjunction with Finance Team
  11. Responsible for the administration of Health & Safety aspects of office (Minimal)
  12. Improvement, codifying documents and increased efficiencies within the role
  13. Administrative set-up for arrival of new staff Implementing appropriate cover for annual/other leave taken in this role
